What should be considered when choosing the right event venue?

• Purpose - one factor to consider is the purpose of your gathering, how many guests are you expecting, and does the venue fit that purpose. When you tour the venue at Oak Beach we will discuss your event needs and make suggestions that would work well for you.

• Budget - Cost is usually one of the main factors to consider. Before ruling out a venue due to a high price tag, consider whether the purpose of the event is worth making it work with your budget. Or speak to the staff to see if there are creative ways to make it work within your budget.  

• Location - Another important factor to keep in mind is ease of attendance. Will most of your invitees be able to attend, will they have to travel far, and is it accessible to anyone with special needs. Being located in the heart of Texas, Oak Beach at Lake Brownwood is only a few hours' drive from most any direction in Texas.

• Back up plan - In case of inclement weather when using an outdoor venue, is there an option for moving the event indoors? Make sure to keep a close eye on weather conditions and have an alternative plan ready to implement if needed. Oak Beach Lodge is a great back-up plan should the weather not permit outdoor activities.

• Appeal - Maybe you've found an acceptable, affordable spot that meets the needs of your event, but you just don't love it! What is it that you are unhappy with? Is there a way to create the atmosphere that you want with decorations and set up? Share your vision with the staff to see if they can help you LOVE it!

What should be considered when hosting an event?

• Choosing the Venue - We've already gone over ways to choose the best venue. Taking it a step further, you need to ensure that there is plenty of clearly defined parking for your guests. If not, contact a staff member to make arrangements. 

• Planning the Event - Be sure to have a well thought out plan, from idea to execution. You don't want to be running around at the last minute trying to get things done! Before the first guest arrives, you will need to have the venue ready to welcome them. Plan out the decorations, registration, furniture settings, menu, entertainment, and the clean up. Recruit plenty of helpers to make sure everything runs smoothly. 

• Relax and enjoy - Now that you've made a great plan, have some trusted helpers to handle everything during the event, you can take a breath and enjoy the experience. Take photos, encourage participants to share on social media, spend time visiting with your loved ones, and make some beautiful memories!

• Say good night Gracie! - Be sure to keep track of time and move things along when needed. Have a pre-planned idea for closing out the evening, thanking your guests and saying farewell! You probably won't turn into a pumpkin at midnight, but the venue staff will be sure to have a set ending time that you need to abide by. 

• Clean up - Have plenty of volunteers available to stay and help with cleanup after the event. It takes quite a bit of work to remove decorations, put away tables and chairs, empty trash, etc. Many hands will make the work lighter for everyone.
